This Privacy Policy explains how OrdinSync ("OrdinSync," "we," "us," or "our") collects, uses, shares, and protects information when you use our websites, applications, and related services (the "Service"). OrdinSync provides online booking and shop operations tools for barbershops, hair salons, and similar appointment-based businesses.
By using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.
1. Who this policy covers
This policy applies to:
- Shop owners, admins, and staff who create or manage an OrdinSync account
- Clients and visitors who book appointments through a shop's public booking pages
- Visitors to ordinsync.com and related OrdinSync marketing or product pages
When a shop uses OrdinSync to collect client information, that shop is typically the controller of its client data, and OrdinSync processes that data to provide the Service.
2. Information we collect
Account and shop information
- Name, username, email address, and password
- Shop name, profile details, services, prices, availability, and staff profiles
- Plan selection and billing-related contact details (when applicable)
Booking and client information
- Client name, email, phone number, and booking notes submitted during booking
- Appointment date, time, service, assigned staff, and booking status
- Confirmation, cancellation, reschedule, and reminder history
Communications
- Emails we send or receive about accounts, bookings, and support
- WhatsApp or other messaging content and delivery logs when a shop connects messaging features
Integrations and calendars
- Calendar connection data and busy/availability signals when you connect third-party calendars
- Other integration credentials or tokens needed to operate connected apps you enable
Technical and usage data
- IP address, device/browser type, approximate location derived from IP, and log data
- Pages viewed, features used, referring URLs, and diagnostic/error events
- Cookies and similar technologies (see Cookies below)
3. How we use information
We use information to:
- Provide, operate, secure, and improve the Service
- Create and manage accounts, shops, staff roles, and subscriptions
- Process bookings, confirmations, reminders, and related notifications
- Sync availability with connected calendars when enabled
- Provide customer support and respond to requests
- Detect, prevent, and investigate fraud, abuse, or security incidents
- Comply with legal obligations and enforce our Terms of Service
- Send product, onboarding, or service-related communications
We may use aggregated or de-identified information for analytics and product improvement.
4. How we share information
We may share information with:
- Shop staff and owners — so they can manage appointments and client communications for their business
- Service providers — such as hosting, databases, email delivery, messaging, analytics, and error monitoring providers who process data on our behalf
- Integration partners — when you or a shop connects a third-party service (for example calendars or WhatsApp)
- Legal and safety recipients — when required by law, or to protect rights, safety, and the integrity of the Service
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets
We do not sell personal information.
5. Cookies and similar technologies
We use cookies and similar technologies to keep you signed in, remember preferences, secure the Service, and understand how the product is used. Essential cookies are required for core functionality. Where required by law, we request consent for non-essential cookies.
You can control cookies through your browser settings. Disabling certain cookies may limit features of the Service.
6. Data retention
We retain information for as long as needed to provide the Service, fulfill the purposes described in this policy, resolve disputes, enforce agreements, and meet legal, tax, or accounting requirements. Shops may also control retention of certain booking and client records through ordinary use of the product. When information is no longer needed, we delete or de-identify it where reasonably practicable.

We use administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. International data transfers
OrdinSync may process and store information in countries other than where you live. Where we transfer personal information internationally, we take steps intended to provide appropriate safeguards consistent with applicable law.
9. Your rights and choices
Depending on your location, you may have rights to:
- Access, correct, or delete personal information
- Object to or restrict certain processing
- Request portability of certain data
- Withdraw consent where processing is based on consent
- Opt out of non-essential marketing communications
Account holders can often update profile and shop settings directly in the Service. Clients who booked through a shop may also need to contact that shop for requests about booking records the shop controls. To exercise privacy rights with OrdinSync, contact help@ordinsync.com.
10. Children
The Service is not directed to children under 16 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided personal information, contact us and we will take appropriate steps.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last updated" date. Continued use of the Service after changes become effective constitutes acceptance of the updated policy where permitted by law.
